Sharing events

Control which workspace members can view or edit an event in the dashboard. Private events are visible only to the creator, org admins, and teammates you explicitly invite.

By default, every event in Mercleo Events is visible to everyone in your workspace. You can restrict an event to a specific set of teammates — and control whether they can view it or make changes.

Public vs private visibility

Every event has one of two visibility settings:

  • Public — every member of your workspace can see and open the event in the dashboard.
  • Private — only the event creator, org admins, and teammates you explicitly invite can see the event.

This setting controls access inside the workspace dashboard only. It has no effect on your public event page or attendee registration — visibility is not the same as publishing.

This controls workspace access to manage the event in the dashboard. To gate who can register as an attendee, use access codes instead.

Switching visibility

Open the event, go to the Sharing tab, and select Manage sharing. The dialog opens with two cards — Public and Private. Selecting a card applies the change immediately — there is no separate save step.

When you switch to Private, two additional sections appear in the dialog: one to invite teammates, and one listing who currently has access.

Inviting teammates

With the event set to Private, use the Invite teammates search box to find workspace members. Type at least two characters — results appear after a short delay.

Select the role you want to grant before selecting the member. Selecting a member grants access immediately. The person appears in the Who has access list below.

Roles

Three roles are available when granting access:

  • View — can open the event and see its details, but cannot make changes.
  • Edit — can make changes to the event.
  • Admin — full access, including managing who else has access to the event.

You can change a teammate's role at any time from the Who has access list. The role selector updates their access immediately. If you invite a teammate who already has access, their role is overwritten with the new selection.

Revoking access

In the Who has access list, select the trash icon next to any teammate to remove their access. The list refreshes immediately.

The event creator and all org admins always have access to a private event. They are not shown in the access list, and their access cannot be removed from this surface.

Sharing vs access codes

Sharing controls which workspace members can see and manage the event inside the dashboard. It has no bearing on your registration page.

Access codes control which attendees can register for the event on the public event page. They are a separate feature configured under the Tickets tab.
